Summary

The person in this position will be responsible for hiring, training, supporting, and managing our team of project accounting administrators (PAAs). This includes managing and overseeing the workload and work quality of the team, as well as completing PAA tasks in times of peak workload or reduced PAA capacity. The person in this role will also act as a liaison between project teams and the PAAs, ensuring that we serve and invoice our clients in a timely and efficient manner while balancing these needs with PAA capacity and the need for streamlined, efficient processes. The project accounting supervisor will also conduct training; drive documentation of key processes; screen, select, and integrate new PAAs; manage performance; lead continuous improvement efforts; and assist PAAs with troubleshooting and resolving issues.

Responsibilities and Typical Activities

  • Provide supervisory oversight for PAAs and project accounting activities
  • Oversee hiring, training, and integration of new PAAs
  • Oversee coaching and staff development for the PAAs
  • Anticipate and organize overall workload for the PAA team and monitor individual workloads, reallocating project/client responsibilities as needed
  • Prepare financial reports and analyze project financial results to confirm accuracy and completeness of information
  • Develop and enforce invoicing standards based on stakeholder input
  • Assess project accounting and invoicing problems as they arise and develop solutions for these issues, confirming the path forward where necessary and either completing or delegating follow-through actions
  • Work with PAAs and project managers to ensure that the necessary infrastructure and support exist so that accurate invoices can be prepared and sent in a timely manner
  • Ensure conformance with client requirements, including regulatory requirements for public sector invoices, when applicable
  • Lead continuous improvement efforts related to invoicing and collections
  • Develop process documentation with input from the PAA and Corporate Accounting teams, vetting the documentation with affected stakeholders
  • Develop inward-facing training materials for the PAA team and outward-facing materials for project teams
  • Serve as a point of contact for client, subcontractor, or internal team member questions or concerns related to project billing in cases where a situation is escalated beyond a PAA’s work, resolving issues efficiently with a focus on client service and reasonable processes and procedures
  • Serve as a member of the Accounting leadership team

  • Minimum Qualifications

    • Bachelor’s degree in accounting, finance, or related area
    • Experience with project accounting and billing
    • Five or more years of experience supervising accounting teams
    • Strong customer service orientation
    • Exceptional technical and problem-solving skills
    • Proven commitment to providing work that is accurate and complete with appropriate attention to detail
    • A flexible working style, able to work independently and in teams to meet client and project needs
    • Demonstrated ability to build and maintain strong teams that include both in-house and remote members, adeptly and proactively addressing interpersonal concerns
    • Ability to delegate and provide team members with individual growth opportunities
    • Ability to multi-task and prioritize effectively
    • Excellent written and oral communication
    • Skilled at presenting technical topics and interacting with staff at large who have varying degrees of financial acumen
    • Demonstrated super-user Excel skills
    • Ability to occasionally travel for short periods of several days
    • Legal authorization to work in the United States without the need for sponsorship
    • Acceptable driving record


    Preferred Qualifications

    • Experience with Deltek Vision
    • Work experience in a professional services organization
