Summary

This position will provide full-time (40 hours/week) facilities support to Barr’s Facilities & Services Manager to manage and oversee 150,000+ square feet in Minneapolis and nine branch offices ranging in size from 8,000 SF to 40,000 SF

As the Facilities Coordinator, you will work with the Facilities Manager to ensure that the organization’s office space is properly managed and maintained. Tasks include but are not limited to: obtaining, reviewing, and summarizing bids from technicians, vendors, contractors; overseeing repairs and improvements; serving as a liaison with property management firms; communicating work efforts to staff; administering card access/security programs; working with established vendors to procure furniture, coordinating delivery, providing installation oversight; supporting the Facilities Manager with lease renewals, office expansion and renovations; responding to requests from staff; assisting with annual budget preparation and ongoing review; coding invoices to proper cost centers; helping develop and update the facilities intranet page; working with facilities staff to complete moves, adds, and change activities; working with Minneapolis Services contract staff to ensure expectations are met; and assisting office coordinators and facilities staff at branch offices as needed to address space maintenance issues and furniture needs.


Minimum Qualifications

  • Associates degree or college coursework or certificates in related fields of study
  • 2 years of experience in comparable position
  • Strong computer skills, including proficiency with MS Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
  • Exceptional organizational skills and the ability to manage multiple tasks
  • Strong oral and written communication skills including excellent listening skills
  • Demonstrated attention to detail and task follow-through
  • Demonstrated ability to develop new skills
  • Desire to provide high quality service to office staff
  • Ability to occasionally lift 40-lb. boxes and re-position office furniture
  • Ability to work effectively with a variety of personalities and build positive working relationships
  • Ability to work with partial information, identify further data necessary to effectively complete tasks, and either prepare preliminary but incomplete work products or work with individuals to collect necessary data to complete work products
  • Flexible working style and willingness to occasionally modify personal schedules to help meet project deadlines and meet office needs
  • Legal authorization to work in the United States without the need for sponsorship
  • Ability to occasionally travel to an office outside of Minneapolis (up to 5% on an annual basis)
  • Acceptable driving record


Preferred Qualifications

  • Five or more years of facilities support related experience
  • Experience preparing presentation materials
  • Familiar with reading and understanding office space construction documents
  • Knowledge of office space design and furniture systems
